Within the framework of the Syrian Center for Media and Freedom of Expression (SCM)’s work to build a society based on respect for and protection of the right to freedom of expression, and to support media work as a form of freedom of expression with a focus on including media professionals in transitional justice, and within its project related to media justice in Syria, As part of its project on media justice in Syria, the Media and Freedoms Program at the Syrian Center for Media and Freedom of Expression (SCM) plans to recruit an:

Administrative Affairs Coordinator – Media and Freedoms Program

SCM is seeking an Administrative Affairs Coordinator to perform the following tasks:

Key Duties and Responsibilities

1. Program Administrative Coordination

Under the supervision of the Program Manager, the Administrative Coordinator will:

  • Monitor the implementation of operational plans and activity timelines.
  • Coordinate meetings, workshops, training sessions, and other program events.
  • Prepare meeting agendas, record minutes, and follow up on decisions and action points.
  • Coordinate with consultants, experts, trainers, partners, and service providers to ensure the effective implementation of activities.
  • Follow up on contracts and administrative procedures related to the program in coordination with relevant departments.

2. Administration and Follow-up

  • Manage and archive project files and administrative, financial, and technical documentation.
  • Maintain and regularly update project and beneficiary databases.
  • Follow up on official correspondence related to the program.
  • Coordinate with the Finance, Administration, Human Resources, and Procurement departments to ensure smooth operational processes.
  • Ensure compliance with SCM’s internal procedures and policies.

3. Logistical Support

  • Coordinate logistical arrangements for meetings, workshops, training sessions, and other program activities.
  • Ensure that all operational requirements for activities are in place.

4. Reporting and Documentation

  • Contribute to the preparation of periodic reports for donors.
  • Collect, organize, and maintain program performance indicator data.
  • Prepare administrative reports and activity summaries.
  • Maintain and archive supporting documentation in compliance with audit and compliance requirements.

5. Coordination and Communication

  • Maintain communication with journalists, beneficiaries, and partners.
  • Facilitate coordination between the program and other SCM departments.
  • Draft and prepare official correspondence in both Arabic and English.
  • Ensure effective information sharing among all relevant stakeholders.

6. Other Responsibilities

  • Contribute to the development of the program’s operational plans.
  • Support the program team in implementing various activities.
  • Perform any other related duties assigned by the Program Manager.

Required Qualifications

  • Bachelor’s degree in Project Management, Business Administration, Public Administration, Media, Law, Political Science, International Relations, or a related field.
  • At least three years of professional experience in administrative coordination, project management, or working with civil society organizations or international organizations.
  • Previous experience in the administrative coordination of donor-funded projects.
  • Good knowledge of the Syrian context, with familiarity with media and human rights issues considered an asset.

  • Excellent written and spoken Arabic and English.

  • Ability to work effectively within a team and under pressure.

  • Completeness and proper maintenance of project documentation.

  • Timely response to program administrative needs.
  • Satisfaction of the program team with the administrative support provided

Location of Work:

  • Damascus, Syria. The position may require travel within Syria as needed to support the implementation of program activities and monitor project progress.
